Step 1:  Add Students

My School Books revolves around your students, so to get the most out of My School Books, we recommend starting here.

1. Login to your My School Books account.
2. Click on “Students” from the main menu on the left.
3. Click on the green “+ New Student” button.
4. Enter in your student details (student first and last name are required).
5. Choose whether this new student belongs to a “New Family” or an “Existing Family“.
6. Enter in your family contact details (parent first and last name are required).
7. Click the green “Finish” button. Your new student is now added.

Step 2:  Schedule Lessons

Once you have added a few students, start by scheduling some lessons on the Calendar. My School Books makes it easy to schedule individual and recurring lessons.

1. Login to your My School Books account.
2. Click on “Calendar” from the main menu on the left.
3. Click on the green “+ New” button and choose “New Default Lesson“.
4. When the “Add Lesson” pop-up appears enter in your lesson details. If your lesson is recurring, select “This Lesson Repeats“.
5. Click the green “Ok” button to save your new lesson details.
6. Your new lesson(s) will now appear in the Calendar on the date(s) chosen.
7. To edit lesson details, click on the lesson in the Calendar and choose “Edit“.

Step 3: Take Attendance

Recording attendance in My School Books is optional but is highly recommend. My School Books features a variety of different attendance options to cover all possible situations.

1. Login to your My School Books account.
2. Click on the lesson or event in the Calendar you would like to take attendance for and choose “Attendance“.
3. When the attendance pop-up appears, choose the appropriate attendance option.
4. If you would like to include lesson notes that can be emailed to the student or parent(s) select “Add Notes“.
5. Click the blue “Save” button.

Step 4:  Create Invoices

Create invoices anytime you need them. My School Books automatically uses your schedule to generate professional looking, itemized invoices with just a few clicks.

1. Login to your My School Books account.
2. Click on “Families & Invoices” from the main menu on the left.
3. Click on the “zoom” tool (blue magnify glass icon) beside the families name you would like to invoice.
4. In the “Family Summary” select the “Invoices” tab and click on the “+ New Invoice” button.
5. When the “Create Invoice” pop-up appears, fill in all relevant invoice details starting with the invoice Start and End date. Click on the green “Create” button.
6. Your new invoice will appear in the list of “Generated Invoices“. Click on the blue “zoom” (blue magnify glass icon) tool to preview.

Step 5: Record Payments

When you receive a payment from a family by either cash or check you will want to record the payment in the “Family Account“.

1. Login to your My School Books account.
2. Click on “Families & Invoices” from the main menu on the left.
3. Click on the “zoom” tool (blue magnify glass icon) beside the families name you would like to record a payment for.
4. Click on the green “+ Add Payment or Discount” button.
5. When the “Add Payment or Discount” pop-up appears select “This is a payment from a family“, and enter all payment details.
6. If you would like to send an email receipt for the payment, select “Send an email receipt“.
7. Click the green “Save” button. Your newly recorded payment will now appear in the “Family Summary“.

Step 6:  Relax!

Step 6 is optional, but highly recommended. Now that you have all of the basics down you deserve a break! Kick back, relax, and enjoy a nice cup of coffee, you earned it!
